    Please forgive me for this rather long message regarding some user setup details for the AGM. Hopefully this is the last ever AGM by zoom or equivalent.

    There appear to have been a few recent updates to Zoom. If you have not used Zoom very recently, please would you log on and get any updates out of the way well before the AGM, simply to ensure they do not delay your attendance. I don’t think they should take more than a few minutes, but as always, depend mainly on download speed.

    Please ensure the names of participants using that device (PC, tablet, phone) will show you name, not, for example, a laptop ID BEFORE you log on. This has proven important at other (non Castle) AGMs etc. when an accurate record of attendance is required.
    Please show ALL the names of people using that device. This needs to be done by checking the username in your profile and changing it to include all users BEFORE you log on, for instance, Paul, Vanda, Charles, or Chris & Jo, John Barnard, John Murton (as you see, surnames may often, but not always be essential for clear records). As the name change is in the profile, it will continue to use that / those names until you change it again should you wish to do so.
    This is important in case there are any close votes by show of hands where each individual needs the opportunity to vote. Hopefully, this situation will not arise – but just in case! There are potentially four votes, and each will have to be run up to three times if we have to use the Zoom voting system!

    If there is audio echo or audio feedback during the meeting, there are three possible causes:
    • A participant has both the computer and telephone audio active.
    • A participant has computer or telephones speakers that are too close to each other.
    • Multiple computers with active audio are in the same conference room.
    The source of echo can also be from speakers (such as TV or soundbar) that are too loud, failed echo cancellation (device or performance issue), or a bad microphone. Generally, if there is echo, it means that there is a device that is channelling the audio back.

    Where multiple computers / tablets / phones with active audio are in the same room: –
    If you are in a room with multiple devices, DISCONNECT the audio from all except the main device (PC, tablet, phone). You can continue to use all other functions on any device which has been disconnected from the audio
